Yes, an AI booking agent can answer the enquiries that arrive after service, but only inside rules you write first. It drafts replies, checks your live availability, and confirms nothing you have not pre-approved. Anything unusual, a big group, an allergy question, a complaint, waits for a human in the morning.
Here is how the evening ends. Service finished an hour ago, the chairs are up, and then the phone: an Instagram DM asking for a table of six on Saturday. A WhatsApp about a cake. A voicemail from half past midnight about a high chair.
Nobody reads any of it until tomorrow, mid-prep. By then the table of six has booked the place down the road that answered at 8am. That is the whole problem: not rude staff, not a bad menu, an empty chair at the inbox between 10pm and noon.
This page is the deep dive on that one job; the wider map for a whole restaurant is in AI for restaurants and cafes: what's worth doing first. Fair warning: most pages on this subject are selling their own bot. I am not; I build agents for a living, with no booking platform to push, so this page can afford to say what the agent must never answer.

An AI restaurant booking agent is software that reads booking enquiries from your messages, website or phone line, checks your availability, and drafts or sends replies inside rules you set. It is not a robot host and does not run your diary. Think of it as a night porter for the inbox: it knows the facts sheet, sees the diary, and knows when to wake the manager. If the word agent is new, that link is the plain-English version.
For most independents the after-hours pile lands in four places: Instagram and Facebook DMs through Meta Business Suite, WhatsApp, the website form, and voicemail. Diners plan at night, on the sofa, so that is when they write.
One channel is gone, though plenty of guides still list it: Google retired chat on Business Profiles in July 2024. The link is in the references.
You need the agent only if you want the enquiries answered: the booking system is the diary, a restaurant reservation chatbot recites scripts, and an agent reads the actual message and drafts a reply inside your rules. The three get sold as the same thing; they are not. Most restaurants already have the first one; the agent sits in front of it, answering the questions the booking button cannot.
| TOOL | WHAT IT IS | WHERE IT STOPS |
|---|---|---|
| Booking system | The diary: OpenTable, ResDiary, SevenRooms and the like. Takes standard tables online. | Cannot answer "can we bring a cake?" It books. It does not chat. |
| Chatbot | Scripted answers to expected questions. Fine for opening hours. | Anything off-script gets a wrong answer or a dead end, at 11pm, in your name. |
| Agent | Reads the real message, checks the diary and the facts sheet, drafts a reply in your voice. | Wherever you draw the line, and that line is a document you write: the next section. |
The order matters more than the tools. Write the rules first, connect the channels second, trust the machine last.
A booking reply standard is a one-page document listing what your restaurant confirms on its own, what it never confirms, and when a person must step in. You already own the raw material: the booking policy, the table plan, the things you say ten times a week. Here is one in full.
BOOKING REPLY STANDARD · SHOWN IN FULL
THE JOB. Answer booking enquiries that arrive on Instagram, WhatsApp, the website form and voicemail, using only the facts sheet and the live diary.
ANSWER FROM THE FACTS. Opening hours and days closed. How to book and the deposit rule, worded exactly as written. Dogs, prams, high chairs, cakes: the yes or no on the facts sheet, nothing more.
CONFIRM ONLY THROUGH THE DIARY. A table is confirmed when the booking system takes it, at the sizes it already accepts online. No diary slot, no confirmation, ever.
NEVER CONFIRM. Groups larger than our biggest table. Anything touching allergies: a person answers those, every time. Private hire. Any exception to the deposit or no-show policy.
THE TONE. Write like: "We'd love that. Saturday fills up fast, so grab it here." Never like: "Dear guest, your enquiry has been received."
ESCALATION. Anything unusual, anything angry, anything not on the facts sheet: draft nothing, flag it for the morning review.
Written fresh for this article; no client's rules in it. Yours will differ, and that is the point. The document is the product; here is how to write the standard properly.
Start with what is free and already yours. Meta Business Suite has built-in instant replies, away messages and FAQ answers for Instagram and Facebook DMs. The WhatsApp Business app has free greeting messages, away messages and quick replies. Neither checks your diary, but both buy you a polite holding line at midnight.
The agent earns its keep above that: it reads the enquiry, checks the diary in OpenTable, ResDiary or SevenRooms, and drafts a proper answer. Wiring it up is a build job; the method is in how I build AI agents with Claude, step by step.
For the first weeks the agent sends nothing: drafts-only mode means it prepares every reply but a human presses send. Once the drafts are boringly right, let the facts-only answers go out at night; everything else stays gated. The same drafts-first habit works across the whole business; how to use AI in your business shows it trade by trade.
While the coffee machine warms up, read the overnight queue. Send the good drafts, fix the odd one, answer the flagged ones yourself. Ten minutes a day instead of being on duty all night. Anything you fix twice goes into the standard, so you never fix it a third time.
THE OVERNIGHT TIMELINE 23:14 23:15 overnight 07:35 DM LANDS table of six, Saturday AGENT CHECKS the standard, the diary DRAFT WAITS nothing sent yet A PERSON SENDS the human gate drafted in the night, sent by a person The work happens overnight; the trust happens at 07:35. The orange box is the rule that makes the rest safe.An AI booking agent must never confirm big groups, allergen assurances, private hire, or exceptions to your deposit and no-show policies. That never-confirm list is the honest half of this page, the part the vendor pages leave out. Squeezing fourteen into a twelve-seat room is a decision, not a reply. Allergen answers carry legal weight and belong to a person, every time. Exceptions are yours to grant, not the machine's.
Some things break even with a good standard. Two channels can chase one table, so a table is confirmed in the diary alone, never in the chat thread. Sarcasm defeats it: "wonderful, forty minutes on hold again" reads as a happy customer unless your rules say otherwise. The enquiry that is secretly a complaint goes straight to a human, undrafted. That hard human gate is exactly how I build them for people.
ANSWER OR HOLD ANSWER FROM THE FACTS HOURS AND HOW TO BOOK DOGS, PRAMS, HIGH CHAIRS STANDARD TABLES, VIA THE DIARY HOLD FOR A HUMAN ALLERGIES AND BIG GROUPS PRIVATE HIRE, POLICY EXCEPTIONS COMPLAINTS IN DISGUISE the orange lane waits for the morning The left lane runs at midnight. The right lane is the never-confirm list, and it never bends.Google's AI Mode has been booking tables for diners since its April 2026 rollout to the UK and other countries. The traffic now flows the other way too: it started in the US in 2025 and books through the online booking systems restaurants already use. On the phones, OpenTable's support pages list voice AI partners such as PolyAI and Slang.ai; PolyAI publishes its own UK booking-call work.
The point for an owner is not to chase any of it: machines already contact restaurants on diners' behalf. The only question left is whether the software on your side works to rules you wrote, or to nobody's.
On money: a booking agent has no special price tag, so this page quotes no prices. The honest numbers for one agent doing one job, in euros with sources, live in what one AI agent actually costs.
There is no single best AI answering service for a restaurant; any page that names one is usually selling it. The better question is where enquiries actually land: a place living in Instagram DMs needs different tools from one living on the phone. Write the house rules first and the tool choice gets easy.
Can an AI agent answer restaurant phone calls too?Yes, voice agents for restaurant phone lines exist; OpenTable lists partner options on its own support pages. Voice is less forgiving than messages because there is no draft to review before the caller hears it, so the never-confirm list matters more on the phone, not less.
Is Google's AI really booking restaurant tables?Yes. Google's AI Mode can take a diner's request and book a restaurant table. It launched in the US in 2025, rolled out to the UK and other countries in April 2026, and books through online booking platforms, so a restaurant with a live booking system and accurate details is the kind it books.
Can I automate Instagram DMs for free?Partly. Meta Business Suite has free instant replies, away messages and FAQ answers for Instagram and Facebook messages, and the WhatsApp Business app has free greeting, away and quick-reply tools. All send fixed text and cannot check a diary; an AI agent earns its keep when replies need live availability plus house rules.
How much does an AI booking agent cost to run?A booking agent costs the same as any other single-job AI agent: a monthly plan for the tools, a small running cost per reply, and the one-off work of writing the rules and wiring it up. Honest ranges with sources are in what one AI agent actually costs.

I lead marketing and I build the systems underneath. Every booking agent I build starts with a standard like the one above, and keeps a person on the send button. If your inbox fills up after service and you would rather hand the build over, that is one agent, doing one job, on your rules. Or email me at ameera@asurekha.com and tell me where your midnight enquiries land.
