Your software sends them. Chasing unpaid invoices is a workflow, not a mood. The Polite Chasing Standard is a one-page download; this is the same page as a tool. Xero and QuickBooks both have these reminders built in: switch the setting on, paste in your wording, choose when the nudges go out. An escalation you do not act on is just a fourth nudge. Each starts from the shape the standard gives it; say it the way you would across a table. The tone rules and the never-do list print as they are on the page; those are not yours to soften. 01 The heads-up, in your words 02 The reminder 03 The direct ask Placeholders you can use in any of the three: \[name\] \[number\] \[amount\] \[due date\] \[link\] \[date\] (the pay-by date) \[days overdue\] \[next step\] \[escalation day\]. Leave a field empty and the nudge keeps a placeholder in square brackets, which is what you paste into your software's reminder settings. Read the final wording before anything sends it: never let software send words you have not read. **Saved** in this browser as you type. **One ask per email.** State facts, not feelings. **Never** chase twice in one week. Four steps. *One page.* 01 Voice ### Write the first nudge In your words, the way you would say it across a table. The tool checks it against the standard: facts in, one ask, no apology, no threat. 02 Days ### Set the days Heads-up, reminder, direct ask. Pick days that fit your trade, then keep them. The escalation day is the day email stops. 03 Facts ### Paste the invoice facts Number, amount, due date, link. Copied from the invoice, never guessed. Leave one empty and the nudge keeps a placeholder. 04 Copy ### Copy each nudge Into Xero, QuickBooks or whatever you use. Switch their reminders on with your wording and your days, and stop dreading the awkward email.
